Visitors to Campus Protocol

Prominent notices shall be posted on campus requiring all visitors to first report to the campus main office. This shall apply to parents or guardians, volunteers, social service workers, invited speakers, maintenance and repair persons not employed by the District, vendors, representatives of the news media, former students, and any other visitors.

Faculty and staff must wear district identification when they are on campus or performing functions directly related to their district responsibilities.

Visitors must report to the front office in order to sign-in, regardless of reason for visiting the school.  All visitors will be signed into the RAPTOR system and obtain a visitor’s sticker nametag. Failure to do so can result in immediate removal from the campus.

Names of all visitors shall be processed through a database containing the names of registered sex offenders. Notwithstanding any provision or policy to the contrary, a visitor who is verified to be a registered sex offender shall not be allowed general access to a campus. A current student’s parent who is a registered sex offender shall be allowed access to his or her child’s records, teacher, and campus administrators by making an appointment
with the campus principal. Request for conference with school personnel from a parent/legal guardian of a student who is a registered sex offender (or is prohibited from occupying campus) should be submitted to front office personnel for scheduling.

Each visitor shall wear the visitor’s nametag so that it is visible during the entire visit to the campus. School employees shall be responsible for assisting with the enforcement of this requirement.

Visitors shall not be permitted to solicit, proselytize, or recruit for fund-raising activities, religious groups, youth groups, or political causes while on school property.

Visitors shall wear appropriate attire when visiting campus. Such attire shall generally conform to the dress code outlined in district policy and administrative regulation for students and staff.

Upon leaving the school, visitors are also required to check-out with the front office before departing campus.  All visitors must return their visitor sticker and sign out before leaving campus.

Teachers must approve any classroom visits in advance.  Teachers are required to inform the front office of ALL scheduled pre-arranged meetings with visitors (such as parents) via the shared Google calendar.  Visitors not appearing on the school calendar will NOT be allowed to inhabit the hallways. Unless specific advance notice from the administrative office is given, ANYONE not known to be a student or faculty member will be sent to the office. Under no circumstances are students to be allowed to leave the classroom to meet with non-students during the academic day.

If any staff members sees anyone who looks unfamiliar, unusual or suspicious and/or not wearing proper identification (e.g. school badge or RAPTOR-generated nametag), please inform the administrative office immediately. 

In order to be allowed access to any students (including classroom access), visitors may be asked to complete a volunteer form, listing date of birth, permitting a background check.  Twenty-four hour notice is requested for all background checks for visitors.[1]

Meetings with teachers should be pre-arranged with the staff member.  Upon sign-in at the front desk, administration will double-check with the staff member to ensure pre-arranged visitation.

There are dedicated days on the school calendar where visitors are not permitted beyond the front office, such as but not limited to days dedicated to midterms, final exams, Middle-Of-Year testing, local testing days and STAAR testing days.  These days will be indicated on the school website.

If a visitor fails to comply with the general rules or guidelines set out in this policy, the principal or other campus administrator may deny the visitor access to the campus in accordance with law
